Roles and access
Roles control which records and actions a member can access inside one community. A person can have a different role in each community.
Role overview
Section titled “Role overview”| Role | Best suited for | Typical access |

| Admin | The community owner or trusted lead administrator | Full community access, including settings, billing, members, units, files, and operations |
| Manager | Property and community operations leads | Members, units, forums, tickets, files, tags, and day-to-day operations without billing authority |
| Billing | Treasurers, bookkeepers, and finance staff | Assessments, invoices, payments, payouts, and unit billing information |
| Staff | Operational team members and contractors | Assigned operational work, discussions, and contextual records without member or unit administration |
| Member | Residents and owners using community services | Their own units and billing, discussions, notices, and issue tickets available to members |
Choose the narrowest role
Section titled “Choose the narrowest role”Give each person only the access required for their responsibilities. In particular:
- Use Billing for finance work instead of granting full Admin access.
- Use Manager for operations teams that do not need financial tools.
- Use Staff for people completing assigned work without managing the community directory.
- Keep the number of Admins small and review it periodically.
Admins can manage every role. Managers can manage Staff and Member access, but cannot grant Admin, Manager, or Billing authority.
Access is community-specific
Section titled “Access is community-specific”Switching communities can change the sidebar because your role may differ. If a person should access a property but cannot, verify both their community membership and their unit assignment.
